Step 4: Fixing Complex Category Mismatches

Welcome to TurboClaim Training! In this guide, we’ll show you how to resolve more complex category mismatches that may occur during the PDF data extraction process. These mismatches can involve multiple line items being grouped under an incorrect category or not being assigned to a category at all.

Step-by-Step Instructions

1. Identify Incorrect Category Assignments

Start by reviewing the first category listed—such as 'Roof'—which may include line items 1 through 29.

Compare this with the original estimate. If you see that line items 1–9 actually belong to 'Exterior Elevation' but are placed under 'Roof', this indicates a mismatch due to the system not recognizing a proper category name.

2. Create a New Correct Category

• Click on the first miscategorized line item (e.g., Line Item 1).
• In the edit line item window, enter a new category name like 'Exterior'.
• Click 'Update' to create the new category.
• Confirm that a new category called 'Exterior' now appears in your category tree.

3. Move Remaining Items to the Correct Category

• Go back to the 'Roof' category.
• Click 'Edit Categories'.
• Select line items 2–9 (those that also belong to 'Exterior').
• Use the 'Move to' dropdown and select 'Exterior'.
• Click 'Save Changes'.

Now, all Exterior items are properly grouped, and the line items match the PDF estimate.

4. Create and Assign Secondary Categories (e.g., Roof Framing)

• Next, confirm that 'Roof' only includes line items 10–27.
• If line items 28 and 29 actually belong to 'Roof Framing' (but were incorrectly included under 'Roof'), repeat the process:
  - Click line item 28 and assign it to a new category 'Roof Framing'.
  - Click line item 29 and assign it to 'Roof Framing' as well.

5. Check for Additional Misplaced Line Items

Sometimes, other line items may be hiding in unrelated categories such as 'Other'.
• In this case, line items 30–32 are found under 'Other', but they actually belong in 'Roof Framing'.
• Click 'Edit Categories' for the 'Other' category.
• Select line items 30, 31, and 32.
• Use the 'Move to' dropdown to reassign them to 'Roof Framing'.
• Click 'Save Changes'.

6. Fix Missing Line Item Numbers

You may also encounter a line item that is missing a line item number.
• Click the line item to open the edit window.
• Manually enter '33' as the line item number (based on context).
• Assign this line item to 'Roof Framing' and click 'Update'.

Final Outcome

You should now have:
• An 'Exterior' category with line items 1–9.
• A 'Roof' category with line items 10–27.
• A 'Roof Framing' category with line items 28–33.

This process ensures that your data is properly categorized, making all subsequent comparisons and supplements accurate.
